If you’ve been told you can’t use AI, you were probably told something slightly different

What you were most likely told is that you cannot send client information to a third-party service, and that advice is usually right. Participant notes, clinical records, case files and client financials are not things to paste into a chat box owned by someone else.

That rules out one way of using AI. It does not rule out all of them. A model can run on a machine you control, indexing documents that are never sent to a third-party AI service, answering questions from data that stays where you put it.

The reason you are rarely offered that option is that it requires somebody who can actually run infrastructure. Most agencies cannot. We do it every day, because our own business depends on it.

We were told we can’t use AI because of our compliance obligations.

You were most likely told you cannot send client information to a third-party API, and that is usually correct advice. It is not the only way to do this. A model can run on hardware you control, indexing documents that are never sent to a third-party service. What your obligations actually permit is a question for you and your adviser — what we can do is build it so the answer is yes.

How is this different from just using ChatGPT?

ChatGPT is a product you rent, that knows nothing about your business until you paste something into it. This is a system that lives in your organisation, is indexed on your own documents, and does not send them anywhere. Different tool, different problem.

Do you use commercial AI yourselves?

Yes, where it is the right tool for the job, and we would rather say so than pretend otherwise. The distinction we care about is not which tools we use — it is whether your business ends up dependent on a vendor you did not choose, at a price you do not control. That is the thing we build around.

What happens if you disappear?

Everything we build for you uses open-source components — you could run it without us. Your code sits in its own private repository with full history from day one, and full ownership transfers to you after two years of continuous subscription, or sooner by buyout. We would rather you stayed because the work is good.

Where exactly would our data live?

Wherever you decide, and we will put it in writing per component before you commit — including backups and content delivery, which are the parts most providers leave out of that answer. If a specific piece has to stay in Australia, tell us and we will design for it or tell you plainly that we cannot.

Aren’t you a website company?

That is where we started and it is still a good part of what we do. The larger work now is the software underneath — the systems that run quoting, scheduling, job records and documents for businesses that outgrew spreadsheets. The AI work sits on top of that, because a model is only as useful as the data it can reach.
